Castine Consulting LLC (“Castine”) systems utilize trade and other data to support your firm’s management reporting needs. The data collected from you includes a name (or proxy for a name), email address, and potentially your telephone number. This data collection is purely voluntary.

Your use of this site and providing of the requested information indicates your acceptance of this notice.Once you choose to provide us with information, you can be assured that it will only be used to manage your interaction with our systems. We take seriously the trust you place in us.

Castine will not sell, rent or lease your identifiable information to others.This privacy statement covers identifiable information, as defined as information that a typical person could use to identify your firm. Anonymous aggregated information is data collected and summarized for statistical and reporting purposes for users of Castine’s services.

What we collect 

Firm Data

Our systems are based on trade, vote, budget, client, payment, and other data as needed to provide management reporting for commission, budgeting, client administration, and/or compensation purposes (depending on modules used). When you use our site, you grant us permission to this information. 

Personal Data

Castine only collects your name, title, and contact information for login and reporting purposes. Based on your firm’s policies, you may use masked entries for any or all of this information. The types of personal information you provide to us on this site pages may include your name, and your firm’s address, work phone, e-mail address, as well as user IDs and passwords. You are not permitted to enter home address or other personal information.

Site Improvement Information 

To personalize our web sites, services or communications and improve our products and services, we may collect data including the pages visited on our sites, unique URLs visited within the sites, browser type and IP address. Most anonymous data is collected via cookies or other analysis technologies. Our web pages use cookies and other technologies for data analysis and personalization services. 
Castine does not knowingly collect information from children under the age of 13 and Castine products and services do not target information to children under 13. Castine is committed to protecting the privacy needs of children and we encourage parents to take an active role in their child's on-line activities and interests. 

How we use it 

Castine collects your information for the purpose of identifying that you are allowed access to the system and to display on screens or reports for management or client reporting as required by your firm. Occasionally we may also use your information on an anonymous and aggregated basis to provide summary reporting to Castine personnel or to our clients.

Who we share it with 

Your Personal Data and Your Firm's Identifiable Data

Data you enter is only viewed by your management and clients, if clients are permitted by you to access our systems. Your data is also available to Castine personnel for diagnostic and development purposes. Castine will not sell, rent, or lease your personally identifiable information to others. Castine will not share your personal information with any unrelated third party company unless you give your permission, unless required by law enforcement action or subpoena. Castine shares customer information across Castine business entities as needed to conduct ongoing business and relationship management.

Castine aggregates information for summary reporting purposes. No identifiable information will ever be released without your consent.

Data Retention

Castine will retain your information and your firm’s information no longer than is necessary to fulfill the stated purposes and/or contractual requirements of our relationship with your firm or as required by law or government mandate.

Data Destruction

When your data and your firm’s data is no longer required to be maintained, it will be destroyed in a manner that prevents loss, theft, misuse, or unauthorized access. If your data is hosted on the cloud, the entire database instance will be deleted.
If your data is hosted on a directly identifiable storage device (e.g. SSD or hard drive), your data will be delete and the storage area wiped with a commercial data destruction tool. If your data comprises the entirety of a directly identifiable storage device and your license with Castine requires physical destruction of that device, it will be destroyed by a certified data destruction organization and/or drilled to physically destroy it’s contents.

Onward Transfer 

Personal data given to Castine may be transferred across state and country borders for the purposes of data consolidation, storage and simplified customer information management.

Security 

Privacy and related security requirements that the service meets

Castine is committed to ensuring the security of your information. To prevent unauthorized access or disclosure, maintain data accuracy and ensure the appropriate use of the information, Castine has in place appropriate physical, managerial procedures to safeguard the information we collect. We use SSL encryption when collecting or transferring sensitive data. All data is encrypted at rest, including your personal and your firm’s information.

Privacy and related security requirements mandated by law, regulation, industry or market requirements

Castine is committed to adhering to all laws, regulations, industry, or market requirements as they pertain to the security of our client’s data and any personal information collected. We specifically prohibit the use of our system to collect any information related to home address(es), national IDs or equivalent, gender, age, physical attributes, personal email or phone numbers or any other personally identifiable information other than one’s name, business email, business phone number, and title. Should your firm or national requirements preclude providing that information, we can accept proxies for any and all of that information.

How Castine uses cookies and other analysis technologies on CastineLLC.com.
